Medical Spa Manager

Position Summary:

Our boutique style cosmetic dermatology and laser center located on Madison Avenue's Upper East seeks a motivated, organized, Medical Spa Manager to be the face of our busy, multi-provider practice. You will work closely with our Practice Administrator and Owner to manage a team of 5-10 administrative support staff, aestheticians, and physician associates. You will also perform routine administrative and clinical assignments, while managing day-to-day operations to keep the medical facility running smoothly. This is a key position as the first line in communication with our clients.

Client Coordination:

  • Maintain a professional presence as the first impression for our team and client liaison for the patients
  • Keep an organized flow of schedule for a team of aestheticians and providers
  • Sales - Perform initial consultations, formulate client quotes, and sell products/packages
  • Customer service - Manage client correspondences, appointment scheduling, and follow-up calls
  • Regular client follow up for client retention and lapsed patients
  • Maintain thorough knowledge of skin care product lines carried and services performed within the practice and ability to recommend and sell to clients at level of provider.
  • Maintains client confidentiality in conformance with agency confidentiality policy and State laws and regulations
  • Liaison between clients and Finance Department: tracking costs and payments, billing questions, credit card matters, etc.
  • Help organize digital marketing and promotional events

General Office Management:

  • Opens / Closes office and maintains security of space (doors, windows, locked cabinets, etc.)
  • Manage social media accounts on a regular basis and in accordance with brand identity (fb, twitter, instagram, pinterest, etc.).
  • Help organize digital marketing and promotional events
  • Monitor inventory and supplies

Team Management:

  • Maintains office staff by assisting with recruiting, selecting, orienting, and training new employees
  • Assists with implementation and management of office policies and protocols
  • Supervise a team of aestheticians and medical providers
  • Regularly coordinate and participate in staff business and clinical meetings. Carry out management and follow-through of staff meeting agenda items

Job Requirements:

  • A minimum of 3-5 years of management and/or customer service experience
  • (preferred) A minimum of 1 year experience as a nurse/aesthetician/medical assistant in plastic surgery, dermatology or medical spa environment
  • A passion for the internet, social media, and thorough knowledge of social trends in beauty, wellness and skincare
  • Experience and active with a wide range of social media platforms (Facebook, Instagram, Twitter, Snapchat, Pinterest, etc.)
  • Must be adept at promoting products and services
  • Must have experience with a booking/appointment scheduling/POS systems
  • Must have knowledge of EMR and eRx systems and be able to assist in prescription filling
  • Ability to establish and maintain a positive and professional relationship with co-workers, clients and visitors; cultural sensitivity and ability to relate well and effectively in diverse workplace and with a diverse client population
  • Ability to organize, efficiently document and routinely update information; ability to apply procedures to work problems and situations
  • Familiarity with current Mac operating systems (as applicable)
  • Flexibility in responding courteously to immediate needs of visitors and callers; ability to establish priorities and maintain productivity despite numerous interruptions

Aesthetician

Position Summary:

We are seeking a very enthusiastic “people person” as our Aesthetician for our high-end cosmetic dermatology boutique practice in the Upper East Side. The successful candidate must have a minimum of 5 years experience and be adept to consulting clients on their skin care needs. Must be a self-starter. In this role you will deliver quality technical service with emphasis on the customer’s total appearance and be responsible for building a request client base through referrals and utilizing promotional materials available, while following all company policies and procedures. Position is available for part-time but can potentially become full-time. Compensation will be an hourly wage plus commission and is negotiable.

Duties & Responsibilities:

  • Will administer aesthetic treatments to include IPL and other laser programs that will be added per the physician.
  • Will provide aesthetic services and perform routine administrative and clinical assignments to keep the medical spa running smoothly.
  • Cleans and stocks treatment room including laying out special equipment or supplies to be used during a patient visit.
  • Maintains supplies and equipment for treatments, including sterilization of equipment when applicable.
  • Being proactive in learning about the products we carry and completing trainings as necessary in order to educate our clients.
  • Manage social media accounts on a regular basis and in accordance with brand identity (fb, twitter, instagram, pinterest, etc.).
  • Help organize digital marketing and promotional events.

Job Requirements:

  • 5+ years experience required.
  • Proficiency with skincare services that include facials, chemical peels, microneedling, microdermabrasion, dermaplaning, laser hair removal and skin care consultations.
  • Licensed to perform aesthetics services as required by NY state.
  • Must be able to communicate clearly and establish and maintain effective working relationships with patients, staff and the public.
  • Ability to exert subtle motivation and influence. Outgoing and energetic personality a plus!
  • Well-organized with high level attention to details. Fluency in product knowledge is necessary.
  • Ability to work independently and as part of a team.

Social Media & Marketing Intern

Our ideal candidate is organized, self-motivated and eager to gain hands-on experience in the field of social media and marketing within a setting that encompasses beauty, wellness and self-improvement. This is a unique role that requires attention to detail and eloquence. The position can evolve into a full-time position for the right candidate.

Responsibilities:

  • Create and post content for social media sites
  • Content writing/blogging assistance
  • Help to coordinate and direct photo/video shoots
  • Assist in promotional campaigns and advertisements
  • Identify key social influencers/beauty editors to collaborate with
  • Assist with our brand ambassador program and some customer inquiries
  • Assist in all aspects of day-to-day projects (in house client photography, client follow-up campaigns)

Position Summary:

Assists providers and staff by performing administrative and clinical duties, as needed.

Essential Functions:

  • Keep an organized flow of schedule
  • Treatment room set-up and turnover
  • Assisting with patient intake; new patient paperwork, clinical chart review, & photography
  • Prepares treatment rooms for patient appointments.
  • Cleans treatment rooms following patient appointments.
  • Clean and stock treatment room including laying out special equipment or supplies to be used during a patient visit.
  • Maintain supplies and equipment for treatments, including sterilization of equipment when applicable.
  • Properly disposes of contaminated supplies.
  • Assists providers during examination by handing over instruments and materials.
  • Assist providers with documentation during consultations and treatments, including but not limited to managing consent forms, pre- and post- treatment instructions.
  • Assist with managing social media accounts on a regular basis and in accordance with brand identity (fb, twitter, instagram, pinterest, etc.).

  • College student or recent grad majoring in Pre-medicine, Pre-PA, Sciences
